How does the Early alert system work?
You can use the Early alert system as part of the monitoring system to monitor current processes in real-time and identify individual process instances where predefined critical times have been exceeded.
To set up an Early alert system, all critical times and special dimensions that form the basis for the early alert check must be configured first. These critical time dimensions are defined when importing process instances into PPM and created in the measure configuration file. In addition, shared favorites are created that define which critical dimensions are to be checked for each process type or process type group. These favorites are configured using the Early Alert System Wizard and saved in a separate Shared favorites folder.
You have two options for identifying time-critical process instances:
You can use the runppmanalytics PPM tool to analyze favorites created in the Early alert system Shared favorites folder. All users with the relevant access privileges for this folder will automatically receive a warning message by e-mail should the critical time be exceeded. To use this tool please contact your PPM system administrator.
Using the Early Alert System Wizard you can quickly and easily analyze process instances after critical times have been exceeded and save your analysis settings as Shared favorites for further analysis.
The "Create delivery" function for the "Standard orders" process type must always have been created by the known Customer's required delivery date, and the "Create invoice" function must be carried out five days after execution of the "Create delivery" function; otherwise this type of process instance is conspicuous and should be considered critical.
In this example, two critical times must be checked for "Standard orders". For each of these times, a special time dimension is created, which can subsequently be used to analyze the process instances.
The Early alert system is available if your PPM license includes the Instance controlling function and you have the Monitoring function privilege. You also need access privileges for the Early alert system Shared favorites folder .
